The Executive Assistant reports directly to the Head of School and is part of the Administrative Leadership Team of The Oasis School.

Specific responsibilities include the following:

  • To maintain the schedule of the Head of School, including the scheduling of meetings, travel and other arrangements, screening of calls, etc.
  • To function as the School’s initial interface with parents (prospective and current), Trustees, donors, and community members-at-large (e.g., representatives of other schools, Jewish Federation, educational associations, media, etc).
  • To assist the Head of School in administrative duties as assigned, including but not limited to preparation of correspondence, reports, research, etc.
  • To support the general functions of the school administrative office, including but not limited to: answering phones, word processing, proofreading, filing, assisting with mailings and receiving and directing visitors.
  • To maintain the efficient management of the school office, including monitoring machines and the scheduling of their service, and the ordering of supplies, in coordination with the
    senior administrative staff and within budget. Student records/report cards: Maintenance of student records; forwarding of records to schools for those leaving Oasis; coordinating of student records to colleges, universities and/or GAP programs, upon graduation.
  • Miscellaneous: daily attendance check, communicating with parents/guardians regarding non-reported absences; updating of parent/student handbook and staff handbook; coordination of back-to-school forms and emergency forms; coordination of grade level supplies; assist with planning and coordinating of grade-level trips and retreats (e.g., Model U.N.) Safety/Security: maintenance of building safety and evacuation plans, in coordination with appropriate building personnel; updating of state-mandated safety drills, including fire drills. Maintenance of contact with building security personnel.
  • To participate in special projects and perform other duties as assigned by the Head of School.
  • To be a visible and positive presence in The Oasis School; to support and promote the overall mission and mandate of the school, within and outside the school.

Desired skill sets and experience

  • The ability to prioritize competing requests from various constituencies (e.g., parents, faculty, donors, Trustees).
  • The innate ability to find joy in being organized! (If not joy, then at least professional satisfaction.)
  • Familiarity with standard technology formats as they pertain to general office work and educational institutions.
  • The ability to maintain complete confidentiality in all matters, particularly in the area of finance, donor relations, Board of Trustees-related issues, and educational and social-emotional information pertaining to Oasis’ student body.
  • Excellent verbal and written communication skills.
  • Experience in and with non-profit organizations is preferred.
  • Knowledge and familiarity of the American Jewish community are helpful but not required.
